Sending email has almost become a daily ritual for everyone. All correspondence in today's electronic age is done via the internet. It is only befitting to familiarize ourselves with the nuances of sending email in the quickest way without wasting unnecessary time. A sure shot way of doing this is to have personalized templates when sending email to anyone. Whether the emails are personal or business emails, we can personalize them. It is extremely useful that every time we send an email to a friend or a client, the part of our email that usually remains the same does not have to be re-typed. Sending email has now become easier and far less time consuming.
Create a personal signature
Every email should have a sign-off. Another name for 'sign-off' is 'signature'. A signature is something that will feature in every email. It is, therefore, very useful to create a signature for your email. A signature can be a personal or business signature. A personal signature will have just a friendly closing with the sender's name. A business signature will have a more formal closing, for example, "Yours Sincerely," with the sender's name, designation and company name.
Use the same type of font and background
You can use the same type of font color and font type for all your messages. This is useful to give you emails an identity. Often companies match the font size, type and color in their emails with the font type, size and color for their company logo and slogans which give their company an identity of its own. This helps since people associate colors with particular brands. For example, the red and yellow of Shell or the red background and white font color of Vodafone. Sending email with a personalized font and background adds familiarity to your brand identity.
Choose your own format for all your messages
You can choose from among three different types of formats, each of which can be your default personalized format for all your emails. When sending email you can choose from plain text, rich text or the HTML format. The plain text format is fine if you just want a basic template with very plain text. In this case you won't have to bother about delivery issues. Spam filters look kindly on emails in the plain text format. Rich text format allows you to use bold, italic and colored fonts, bullets and linked objects etc. It is, simply put, slightly more advanced than plain text format, but not as advanced as HTML text. The HTML format is useful if you are sending email in the form of a newsletter or subscription. You might want graphics and images in your email. When preparing HTML text formatted templates, you should be careful not to go overboard with graphics or images. This makes your email's course to the intended receiver a little more difficult.
You can also add text to the body of your email when you personalize it. Sending email can be done in so many ways. Personalizing your email is extremely useful as it saves you repeated effort and loss of time.
