One of the crazy things that have occurred in the last few years is the fact that people have a virtual assistant. They either employ someone by the hour, part-time and full-time to undertake tasks they are either unwilling or unable to do it themselves.
These tasks are nearly always computer-based and often repetitive to train a virtual assistant effectively the tasks have to be broken down into their component parts. In the old days, five years ago the usual method of training as a PDF. In today's world for various reasons a PDF is not an effective method of training.
The first reason that PDF is not an effective training manual is the fact that your virtual assistant cannot speak the same language. I am Spanish, my virtual assistant lives in Bhopal in northeast India the only common language between us is English. Good morning Mr. Harshvhardan Singh, I hope you are well this morning and the family are pleasantries we go through every morning on Skype.
They are just that pleasantries, for business we need an effective method of communication. Today videos can be used to transmit meaning quickly and easily most importantly visually. There are many types of software, both free and paid for that will do this job.
As Mr. Harshvhardan Singh, is well aware I am technically challenged. The mysteries of Camtasia are beyond my pea brain, - I put that down to age, I am not quite sure what my virtual assistant puts it down to, but that is not a road I wish to travel down. As a writer I have to be curious, but there is a limit to my curiosity.
So I have this wonderful virtual assistant who makes my life a lot easier, but I still have to tell him what to do. The solution is in fact extremely simple and also free, I make five-minute videos with Jing. They are easy to make the whole process takes only one or two clicks and even I the most technically challenged person in the world can't cope with it.
I really wish that I could use Camtasia because it is probably the best available software; unfortunately I can't. The downside with Jing is the fact that you can only make five-minute videos, but it is this very downside that makes it so advantageous.
In the first place it forces you to focus, secondarily the average persons concentration can only be maintained for five minutes. It is not intimidating for someone to get five minutes of instruction. The video on a time-consuming to make times they are easy to watch. The process can be rinsed and repeated as many times as you wish. They are small enough to share a file via Skype you can load them on your blog.
If you have a WordPress blog you can place the videos as a permanent record in the same place you place your downloads. They are not accessible to your reader your VA cannot system whenever he she needs to. There is actually a professional Jing as well and I actually subscribe to it but there is no necessity to do so the free version will allow you to make your instructions. The instructions how to do this have been uploaded to my blog as, you guessed it a video, pop over and watch it at your convenience.
Now if only I could train Mr Harchvhardan Singh not to call me "Maam", I would be away!
