Finding Your Purchase Order Requisition Using E-Procurement

Expert Author Stanley Hardin

E-procurement is an overdue process for most companies involved in purchasing merchandise. It simplifies tracking of purchase orders.

Paper purchase orders are cumbersome, they need manual completion, have to be taken physically from office to office for approval and need to be dispatched to the supplier using snail mail. They are easy to misplace, which slows down the purchasing process that in turn reduces staff's production affecting negatively the company's profit.

A company that embraces E-procurement process will realize drastic differences between the old archaic system and the more efficient online system. Tracking purchase orders using E-procurement software is easy, at the click of the mouse any user can tell at what stage the purchase order is in the approval chain. When the order takes longer than necessary with one of the approving signatories, the user is able to communicate instantly with the affected party hastening the order's onward progress.

Tracking of the purchase order is done at the user's desk without him having to find the physical whereabouts of the order. This saves time for the user and keeps the supplier informed of the order's progress.

It is easy to deploy an E-procurement process, as there is no software to install. All a company has to do is get the phase I in place within a week the process is up and running. Charting and redefining the approval process to help staff get a feel of the system is what takes a little bit of time. Phase I helps give confidence to employees using the system.

It might take some getting used to, especially for first time users. However, once the users find out how fast it is to track purchasing orders, they will realize how prompt and efficient using an E- procurement system actually is.
