Credit Cards for Business - The Ease of Tracking Expenditures

There are a number of options to consider when acquiring and using credit cards for business. They include the intended use of the credit cards, approval processes for employees who are authorized to use the credit cards for business purposes, and the reporting requirements for the credit cards.

Before acquiring business cards for business it is important to question and confirm the intended use of the credit cards. They might be used to purchase minor supplies, to make commodity purchases or to pay for the expenses of employees who are required to travel for business purposes. This will help determine the right business credit cards for business that the company may wish to acquire.

A second consideration about acquiring credit cards for business is the cost of using the credit cards and any annual fees and the rate of interest payable on these credit cards. Most businesses seek the most economical form of credit cards for business and these often come with low interest charges and minimal or no fees for their acquisition and use. Other businesses are prepared to pay higher operating costs for their credit cards for business because they use them like a regular business line of credit and because it meets their needs they are agreeable to paying these additional costs as part of their business operations.

Any employee who is given the authorization to use credit cards for business must be fully aware of the responsibilities that go along with this authorization. There should be clear guidelines for the appropriate sue of credit cards for business and strict penalties for misuse. Some companies have a policy on the use of credit cards for business that only authorizes employee spending on these credit cards to the level that they would normally require to carry out their duties. Any amounts above that which are purchased on credit cards for business must receive a further authorization from the employee’s supervisor or manager.

Businesses like using credit cards for business because of the ease of tracking expenditures. Every time a purchase is made using credit cards for business there is a signature required and a receipt issued. This allows for an easier reconciliation process after the purchases and allows the business to track each employee’s credit card expenditures.

At the end of every month the bank or credit card company issues a statement of all the expenditures made against the credit card along with the minimum payment due and the interest accumulated on all credit cards for business. This means that the business can re-check all of its expenditures once again to ensure that they are correct and it also allows the business to track these expenditures by category and by employee. Some credit card companies will also provide additional reports that can show trends in spending and provide year to year comparisons that can allow the business to re-evaluate the use of their credit cards for business.
